Part 1: General Terms & Conditions
Section 1.1: Purpose & Scope
This General Terms & Conditions section defines the core rules that govern participation in any program, activity, event, course, or initiative organized or branded by the International School of Leadership & Diplomacy LLC (“ISLD”).
These terms establish how ISLD operates, what Participants can expect, and what ISLD expects in return. They apply to all interactions with ISLD, whether in person, online, hybrid, or asynchronous, and set the baseline framework for event participation, payments, refunds, conduct, data, safety, and intellectual property.
These General Terms & Conditions are interpreted under the laws of the State of New York, USA, while being applied globally across ISLD’s international programs, subject to any mandatory local legal requirements that may apply in a particular jurisdiction.
Section 1.2: Definitions
For clarity and consistency across all policies, the following definitions apply throughout ISLD’s policies and terms:
- “ISLD” means International School of Leadership & Diplomacy LLC, a New York registered limited liability Company, including its directors, officers, employees, representatives, contractors, and authorized partners.
- “Program” or “Event” means any summit, conference, training, workshop, course (online or offline), webinar, cohort, or initiative organized or endorsed by ISLD.
- “Participant” or “Delegate” means any individual who registers for, attends, or engages with an ISLD Program, whether in person or virtually.
- “Scholarship” means any fee reduction, waiver, discount, or funded place granted under ISLD’s Scholarship Policy.
- “Credit Voucher” means a non-cash, time-limited digital credit issued by ISLD under the Refund & Cancellation Policy that can be applied only to eligible future ISLD Programs.
- “Personal Data” means any information that can identify a living individual, such as name, contact details, date of birth, nationality, or any other data covered by GDPR and CCPA.
- “Force Majeure Event” means circumstances outside ISLD’s reasonable control, including but not limited to natural disasters, war, civil unrest, government restrictions, pandemics, transportation shutdowns, or other disruptive events.
Where a term is defined once in any ISLD policy, that definition applies across all policies unless clearly stated otherwise.
Section 1.3: Applicability
These General Terms & Conditions apply to:
- All ISLD Programs, regardless of delivery mode (in-person, online, hybrid, or blended).
- All categories of individuals, including but not limited to:
- Participants / Delegates
- Speakers and Trainers
- Volunteers and Interns
- Staff and Contractors
- Scholarship Applicants and Awardees
- Vendors, Sponsors, and Partners
- All phases of engagement, including:
- Pre-registration and application
- Registration, payment, and confirmation
- Attendance, participation, and post-event engagement
- Use of ISLD platforms, communication channels, and materials
Participation in any ISLD Program or use of ISLD services constitutes acceptance of these Terms & Conditions and all related policies referenced in the Master Policy.
Section 1.4: Responsibilities
ISLD and Participants each have distinct responsibilities:
- ISLD Responsibilities
- Design and deliver programs in line with announced themes and learning objectives, subject to reasonable modifications.
- Provide accurate core information on dates, location (or platform), official fees, and inclusions.
- Take reasonable steps to ensure a safe, inclusive, and respectful learning environment.
- Handle Personal Data in accordance with ISLD’s Privacy and Data Protection Policies.
- Participant Responsibilities
- Read and understand ISLD’s policies before registering.
- Provide accurate and complete information at all times.
- Pay all required fees within specified timelines.
- Comply with all Code of Conduct, Anti-Harassment, Safety, and Participation rules.
- Respect local laws in the host country and any additional rules imposed by venues or partners.
Failure to uphold responsibilities may result in removal from programs, denial of access to future events, or other corrective action.
Section 1.5: Compliance Requirements
All parties engaging with ISLD must comply with:
- Applicable Laws & Regulations
- Laws of the State of New York, USA (primary legal anchor).
- Mandatory local laws in the host country of each event.
- International data protection standards (GDPR, CCPA) where applicable.
- ISLD Internal Policies, including but not limited to:
- Event Participation Terms
- Scholarship Policy
- Refund & Cancellation Policy
- Payment & Fee Policy
- Privacy & Data Protection Policies
- Disability Discrimination and Equal Treatment Policies
- Anti-Harassment & Non-Discrimination Policy
- Digital Health & Safety and Environmental Policies
- Media, Content & IP Usage Policy
- Venue & Platform Policies
- Any additional terms imposed by event venues or digital platforms (e.g., Zoom, Teams, Eventbrite).
Where there is a conflict, mandatory law overrides ISLD policies, but the remainder of ISLD policies continue to apply.
Section 1.6: Operational Procedures
To ensure consistent implementation of these General Terms & Conditions, ISLD follows internal operational procedures, including:
- Maintaining standard templates for contracts, confirmations, and policy notices.
- Publishing core policies on the official ISLD website and including key terms in registration pages.
- Using recognized platforms (e.g., Eventbrite, official ISLD forms) to capture consent and acceptance of terms.
- Documenting major decisions related to admission, exclusion, scholarship awards, and cancellations to maintain an auditable record.
Operational procedures may evolve over time as ISLD scales globally but will remain aligned with the principles stated in this Part.
Section 1.7: Limitations & Liability
This section is high-level; detailed liability clauses appear again in Part 15. At the General Terms level:
- ISLD’s responsibilities are limited to the services explicitly described in official program materials.
- ISLD is not responsible for:
- Travel, visa, accommodation, transport, or insurance, unless explicitly included in a package.
- Personal loss, theft, or damage to belongings.
- Decisions of embassies, immigration authorities, airlines, or third-party providers.
Any liability of ISLD, if established, will be limited to the amount of the program fee paid to ISLD for that specific program, excluding third-party costs.
Section 1.8: Enforcement & Violations
ISLD reserves the right to:
- Deny registration or revoke participation where there is evidence of policy violations, fraud, abuse, or risk to others.
- Investigate complaints, gather statements, and take proportionate action, including warnings, removal from programs, reporting to authorities, and bans from future participation.
- Interpret and apply these policies in good faith, balancing fairness to the Participant and protection of ISLD and the wider delegate community.
Participants are expected to cooperate with any investigations and accept that ISLD’s decisions on enforcement are final, subject to applicable law.
Part 2: Event Participation Terms
Section 2.1: Purpose & Scope
This Part sets out the specific conditions under which Participants may attend, access, or engage with ISLD events and programs.
It clarifies participation rules, attendance expectations, session access, and delegate behavior in both physical and digital contexts. These Event Participation Terms apply to all ISLD Programs, regardless of location or mode, once a Participant has registered, been accepted, or been invited.
Section 2.2: Definitions
In addition to the definitions in Part 1, the following apply specifically to event participation:
- “In-Person Event” means any ISLD Program where participants are physically present in a venue.
- “Virtual Event” means any livestreamed, online, or digital ISLD Program accessed via an internet-connected device.
- “Hybrid Event” means any combination of physical and virtual access under a single program.
- “Session” means any individual workshop, panel, keynote, simulation, or breakout held as part of an ISLD Program.
- “Access Credentials” means event badges, lanyards, QR codes, logins, or digital links provided to Participants to access ISLD Programs.
These definitions apply throughout Part 2 and cross-reference with the Delegate Code of Conduct (Part 13).
Section 2.3: Applicability
These Event Participation Terms apply to:
- Every Participant whose registration has been accepted and confirmed by ISLD.
- Participants holding fully-paid seats, discounted seats, or scholarship seats.
- Both on-site and remote attendees of ISLD Programs.
These terms come into effect from the time a Participant:
- Submits an application or registration, and/or
- Makes any payment towards an ISLD Program, and/or
- Accepts an official invitation or scholarship offer.
They remain in effect until all outstanding obligations (including payments, materials, or dispute resolutions) are concluded.
Section 2.4: Responsibilities
- Participant Responsibilities
- Arrive on time for sessions, whether online or in person.
- Wear or use official access credentials at all times during in-person events.
- Refrain from sharing access links, passwords, or entry codes with unauthorized persons.
- Follow instructions from ISLD staff, venue security, and facilitators.
- Behave respectfully towards all other Participants, staff, and third parties.
- ISLD Responsibilities
- Provide clear pre-event information on schedule, location/platform, and session logistics.
- Implement reasonable safeguarding measures in line with the venue and host country.
- Provide access credentials to registered and confirmed participants.
Communicate changes to scheduling or format as soon as reasonably possible.
Section 2.5: Compliance Requirements
Participants must comply with:
- ISLD’s Delegate Code of Conduct (Part 13).
- Anti-Harassment & Non-Discrimination Policy (Part 10).
- Venue-specific security, ID, health & safety protocols (e.g., security checks, badge display, restricted areas).
- Laws of the host jurisdiction, especially regarding conduct, public safety, and prohibited items.
Non-compliance may result in immediate removal from sessions or the entire event, with no eligibility for refund or credit.
Section 2.6: Operational Procedures
ISLD may implement the following procedures to manage participation:
- Check-In and Verification:
- Identity verification via ID/passport or photo match for badges.
- Confirmation of registration status before allowing entry.
- Session Management:
- Controlled admission to limited-capacity sessions.
- Priority access rules (e.g., main delegates vs. observers) where applicable.
- Virtual Participation:
- Use of waiting rooms, mute controls, or removal options on digital platforms to maintain decorum.
- Tracking logins or attendance for certification or records.
ISLD may refuse entry or revoke access credentials if there is suspicion of misuse, fraud, or security concerns.
Section 2.7: Limitations & Liability
For Event Participation:
- ISLD is not liable for disruptions caused by technical failures, internet instability, third-party software outages, or local connectivity issues at the Participant’s end.
- ISLD is not responsible for any costs Participants incur in preparation for an event (travel, accommodation, visas, equipment) if the Participant is removed for cause (e.g., misconduct, policy violations).
If ISLD cancels an event entirely and does not reschedule, remedies are governed strictly by the Refund & Cancellation Policy (Part 4), typically via Credit Voucher, not cash.
Section 2.8: Enforcement & Violations
If a Participant breaches Event Participation Terms, ISLD may:
- Issue a verbal or written warning.
- Restrict access to certain sessions or platforms.
- Remove the Participant from the event entirely.
- Report serious incidents to venue security or local authorities.
- Record the incident and restrict the Participant from future ISLD Programs.
ISLD’s decision on enforcement, after internal review, will be final for purposes of ISLD’s own operations.
Part 3: Scholarship Policy
Section 3.1: Purpose & Scope
This Scholarship Policy governs how ISLD designs, awards, administers, and revokes scholarships or funded seats.
It ensures that scholarship decisions are:
- Transparent, merit-based or criteria-based, and fairly applied.
- Aligned with ISLD’s mission to support emerging leaders globally.
Administered consistently across all ISLD Programs, subject to program-specific conditions.
Section 3.2: Definitions
In addition to earlier definitions:
- “Scholarship Seat” means a place in an ISLD Program where the participation fee is fully or partially waived.
- “Impact Scholarship” / “Leadership Scholarship” or similar labels refer to specific scholarship schemes defined by ISLD for particular programs.
- “Assessment” means any quiz, written submission, interview, video statement, or form used to evaluate scholarship applications.
Scholarship names and tiers may vary by program, but all are governed by the principles in this Part.
Section 3.3: Applicability
This policy applies to:
- All scholarships offered directly by ISLD for its own Programs.
- scholarships advertised on the ISLD website, social channels, or partner platforms.
Scholarships offered by external organizations, even if promoted by ISLD, may be subject to separate external policies, which will be clearly indicated where applicable.
Section 3.4: Responsibilities
- ISLD Responsibilities
- Publish clear eligibility criteria for each scholarship scheme.
- Design fair and non-discriminatory assessment processes.
- Communicate scholarship decisions by email or official channels.
- Maintain records of applications and decisions for audit and fairness.
- Applicant Responsibilities
- Provide truthful, accurate information and original work in all applications and assessments.
- Respect deadlines and submission formats.
Accept that scholarship awards are limited and competitive and that decisions are final.
Section 3.5: Compliance Requirements
Applicants and awardees must comply with:
- ISLD’s Equal Treatment, Anti-Harassment, Disability, and Privacy policies.
- Any additional conditions attached to specific scholarships (for example: mandatory attendance, participation in certain sessions, or contribution to post-event impact reports).
Misrepresentation at any stage (e.g., falsifying achievements, identity, or intent) may result in immediate withdrawal of the scholarship, reclassification of the seat as fully payable, and ineligibility for future scholarships.
Section 3.6: Operational Procedures
Examples of operational processes under this Policy include:
- Assessment Tools: ISLD may use leadership quizzes, essays, application forms, or interviews to rank applicants into tiers (e.g., fully funded, partial scholarship, standard access).
- Notification: Successful and unsuccessful applicants are typically notified by email; only successful applicants may receive follow-up instructions to secure their seat.
Seat Confirmation: Scholarship awardees may be required to confirm attendance by a specified date and/or pay a small commitment or administrative fee (if stated in the specific program conditions). Failure to confirm may result in forfeiture of the scholarship seat.
Section 3.7: Limitations & Liability
- Scholarships cannot be converted into cash, refunds, or general credit.
- Scholarships are program-specific and non-transferable:
- Not transferable to other programs, editions, or locations.
- Not transferable to another person, unless explicitly allowed by ISLD in writing.
ISLD is not responsible if a scholarship recipient cannot attend due to visa refusals, travel issues, personal emergencies, or other external factors. In such cases, normal Refund & Cancellation rules apply (typically: no refund, no transfer, unless explicitly stated otherwise in writing).
Section 3.8: Enforcement & Violations
Violations of the Scholarship Policy include, but are not limited to:
- Plagiarism or fabrication in scholarship applications.
- Misuse of a scholarship (e.g., selling or trading a scholarship seat).
- Breach of Code of Conduct during or after the program.
ISLD may respond by:
- Revoking the scholarship and requiring full payment of fees.
- Barring the individual from future scholarship consideration.
- Cancelling the participant’s place in the program.
All submissions, scores, and internal evaluation notes remain confidential and are for ISLD administrative use only.
Part 4: Refund & Cancellation Policy
Section 4.1: Purpose & Scope
This Part sets out ISLD’s approach to refunds, cancellations, transfers, and Credit Vouchers.
Because ISLD works with international venues, partners, and suppliers, all of whom require non-refundable commitments, ISLD operates a strict no cash refund model, with limited flexibility provided through Credit Vouchers as described here.
Section 4.2: Definitions
For this Part:
- “Refund” means return of money paid. ISLD refunds are generally not offered in cash form.
- “Credit Voucher” means a non-cash, non-transferable credit that can be applied to eligible future ISLD Programs within a defined validity period.
- “No-Show” means a Participant who does not attend any portion of the Program without prior approved cancellation.
“Discounted Registration Fee” means a fee that is already reduced from the standard fee (e.g., through promotional code, early bird, or partner discount).
Section 4.3: Applicability
This Refund & Cancellation Policy applies to:
- All fees paid directly to ISLD or via official ISLD ticketing platforms (e.g., Eventbrite), including standard, early bird, or package fees.
- All Participants, regardless of whether they hold a standard seat or received a partial scholarship (for the paid component).
Third-party services (airlines, hotels, local tours, etc.) are governed by their own refund rules and are outside ISLD’s control.
Section 4.4: Responsibilities
- Participant Responsibilities
- Review this Policy before making payment.
- Notify ISLD promptly if they are unable to attend.
- Submit any Credit Voucher request following the procedure in this Part.
- ISLD Responsibilities
- Communicate this Policy clearly on event pages and invoices.
- Apply the Policy consistently and fairly.
Review valid requests for Credit Vouchers within a reasonable timeframe.
Section 4.5: Compliance Requirements
The core rules are:
- No Cash Refunds: All payments made to ISLD are non-refundable in cash, regardless of reason, except where required by mandatory law.
- Credit Vouchers Only: Where flexibility is granted, it is in the form of a time-limited Credit Voucher, not a cash refund.
- Deadlines: Eligibility for any voucher or partial credit depends on timely written notice and adherence to the schedule below.
Participants acknowledge these terms when agreeing to the registration conditions.
Section 4.6: Operational Procedures
- Eligibility for Credit Vouchers
A Participant may be eligible for a Credit Voucher only if:
- The full conference fee has been paid to ISLD; and
- A formal written request is submitted at least 60 days before the event start date; and
- The request includes an ink-signed letter or scanned signature confirming withdrawal.
Participants who have only paid a first installment/partial payment are not eligible for a Credit Voucher; the first installment is treated as a non-refundable cancellation fee.
- How to Request a Credit Voucher
The Participant must:
- Draft a signed letter or PDF including:
- Full name
- Email and contact number
- Event name and date
- Registration ID or ticket number
- Confirmation that they wish to withdraw and request a Credit Voucher
- Email the signed document to:
- Use the subject line:
“Credit Voucher Request – [Full Name] – [Event Name]”
- Review & Issuance
- ISLD will verify payment status, timelines, and eligibility.
- Standard review time is 10–14 business days.
- If approved, ISLD will issue:
- A Credit Voucher ID
- The amount and expiry date
- Any specific conditions for redemption
Credit Vouchers are:
- Valid for 12 months from the date of issue.
- Non-transferable and linked to the original Participant.
Not redeemable for cash.
Section 4.7: Limitations & Liability
- Cancellation Timeline & Retention
If the Participant submits a valid request less than 60 days before the event, the following schedule applies (based on the date ISLD receives the written request):
- 59–45 days before event:
- 25% of the paid fee retained by ISLD (cancellation fee)
- 75% of the paid fee issued as a Credit Voucher
- 45–30 days before event:
- 50% of the paid fee retained
- 50% issued as a Credit Voucher
- 29–0 days before event:
- 100% of the paid fee retained
- No Credit Voucher issued
- No-Show
If a Participant fails to attend the event without any approved cancellation or transfer, this is treated as a No-Show, and no voucher or credit is issued.
- Discounted & Non-Refundable Tickets
- Tickets clearly labeled as non-refundable or deeply discounted promotional tickets are not eligible for Credit Vouchers unless ISLD explicitly states otherwise in writing.
- Postponements
If ISLD postpones an event:
- The Participant’s existing registration will be moved to the new date, where possible.
If the Participant cannot attend on the new date, they may request a Credit Voucher for 100% of the amount paid toward that specific ISLD event (no cash refund).
Section 4.8: Enforcement & Violations
ISLD may decline or revoke a Credit Voucher if:
- The request contains false or misleading information.
- The Participant attempts to sell, barter, or transfer the voucher to another person.
- The Participant engages in fraud, chargeback misuse, or other abusive behavior.
ISLD’s determination on eligibility, amount, and issuance of Credit Vouchers is final within the scope of ISLD’s policies, without prejudice to any mandatory legal rights the Participant may have under applicable law.
Part 5: Payment & Fee Policy
Section 5.1: Purpose & Scope
The Payment & Fee Policy governs how ISLD processes, receives, records, and enforces payments for all ISLD Programs worldwide.
It establishes:
- Authorized payment channels
- Payment deadlines
- Installment conditions
- Non-refundable deposits
- Chargeback rules
- Penalties for late payments
- ISLD’s rights in the event of fraud or misuse
This policy applies to every person paying fees to ISLD, regardless of whether the transaction is processed through ISLD’s internal systems, Eventbrite, or an authorized partner platform.
Section 5.2: Definitions
- “Fee”: Any monetary amount payable to ISLD for participation, services, event packages, or add-ons.
- “Deposit” / “First Installment”: A mandatory initial payment securing a seat; always non-refundable.
- “Installment Plan”: A structured payment schedule available for selected events at ISLD’s discretion.
- “Chargeback”: A dispute initiated by the payer with their bank or payment provider.
“Default”: Failure to complete required payments within specified deadlines.
Section 5.3: Applicability
This policy applies to:
- All delegates (paid, discounted, or partially funded)
- All forms of payment to ISLD platforms
- International payments made from any country
- Supplemental purchases such as certificates, merchandise, add-on activities, tours, or session upgrades
Scholarship recipients are subject only to the fee conditions relevant to the paid components of their package.
Section 5.4: Responsibilities
Participant Must:
- Pay fees using official ISLD channels only.
- Ensure their bank or card provider permits international transactions.
- Pay within the timeline stated at checkout or in their invoice.
- Retain proof of payment.
- Cover all bank charges, currency conversion fees, or international transfer costs.
ISLD Must:
- Provide secure and authenticated payment methods.
- Issue digital receipts automatically or upon request.
Notify Participants if payment deadlines are approaching or overdue (reasonable effort, not obligation).
Section 5.5: Compliance Requirements
Participants acknowledge:
- Full payment is required before attendance.
- Partial payments do not grant access, materials, certificates, or seats.
- Deposits are strictly non-refundable, regardless of reason.
- Installments must be completed according to schedule; missed payments result in automatic removal from the event.
Any breach of payment obligations triggers consequences under Section 5.8.
Section 5.6: Operational Procedures
- Approved Payment Channels
- Eventbrite (recommended global channel)
- Stripe / PayPal (where available)
- Official ISLD invoice system
- Credit/debit cards (Visa, MasterCard, AmEx)
- No payments may be made to private accounts or individuals.
- Installment Plans
- Available only if explicitly offered for that event.
- Deposit must be paid immediately to secure a seat.
- Missed installment = seat forfeiture + deposit retained.
- Participants cannot attend until all installments are complete.
- Payment Verification
- Payments are recorded only after cleared funds appear in ISLD’s accounts.
- Pending or failed transactions do not count as payment.
- Late Payments
If a balance remains unpaid beyond the deadline:
- ISLD may cancel the participant’s registration.
- Participant becomes ineligible for vouchers, transfers, or claims.
ISLD may charge administrative late fees (if announced in that program).
Section 5.7: Limitations & Liability
ISLD is not liable for:
- Technical issues on a participant’s bank, card, or payment channel
- Currency fluctuations
- Bank delays
- Fees charged by payment gateways
- Payments sent to unauthorized entities
If a participant mistakenly pays to an unofficial channel, ISLD is not responsible.
Section 5.8: Enforcement & Violations
Violations include:
- Initiating chargebacks without contacting ISLD
- Providing fraudulent payment proof
- Attempting to bypass payment deadlines
- Manipulating discount codes
- Shared or transferred passes without authorization
Sanctions may include:
- Immediate cancellation of registration
- Permanent ban from future ISLD events
- Legal recovery of disputed amounts
Reporting of fraudulent activity to payment institutions
Part 6: Privacy Policy (GDPR + CCPA)
Section 6.1: Purpose & Scope
This Privacy Policy describes how ISLD collects, stores, processes, shares, and protects Personal Data in compliance with:
- GDPR (EU & UK)
- CCPA (California)
- New York Data Protection standards
- International privacy principles
This policy applies to data collected through ISLD websites, registration systems, assessments, events, and email communications.
Section 6.2: Definitions
- “Personal Data”: Any data that identifies or relates to an individual.
- “Processing”: Any action performed on Personal Data, including storage, sharing, deletion, analysis, and transfer.
- “Data Subject”: The participant whose data is collected.
- “Data Controller”: ISLD, determining purposes and means of processing.
“Third-Party Processor”: Platforms assisting ISLD (Eventbrite, Google, Zoom, etc.).
Section 6.3: Applicability
Applies to all individuals aged 18+ whose data ISLD collects, including:
- Delegates
- Scholarship applicants
- Speakers, trainers
- Website users
- Social media users interacting with ISLD forms
Minors under 18 are not permitted to submit data to ISLD programs.
Section 6.4: Responsibilities
ISLD must:
- Process data lawfully, fairly, and transparently
- Store data securely
- Use data only for necessary and legitimate purposes
- Delete data when no longer needed
Participants must:
- Provide accurate information
- Update ISLD if details change
- Not impersonate others
Section 6.5: Compliance Requirements
ISLD processes data based on:
- Contract (registration forms)
- Legitimate interest (program operations)
- Consent (marketing opt-in)
- Legal obligation (tax, security, compliance)
Under GDPR, participants have rights to:
- Access
- Rectification
- Erasure
- Data portability
- Restriction of processing
- Objection
- Withdrawal of consent
Under CCPA, participants have rights to:
- Know categories of data collected
- Request deletion
- Request disclosure
- Opt-out of sale (ISLD does NOT sell data)
Section 6.6: Operational Procedures
ISLD collects:
- Contact details
- Passport/name info for certificates
- Payment data (via secure external processors)
- Event photos/videos
- Assessment data
- Communications with ISLD
Data is stored on:
- Secure cloud databases
- Encrypted servers
- Third-party tools with GDPR/CCPA compliance
Data is retained for:
- Operational life of the event
- Legal retention requirements
- Audit and security records
Marketing emails are sent only when consent is provided.
Section 6.7: Limitations & Liability
ISLD is not liable for:
- Participant negligence (shared passwords, unsecured devices)
- Data breaches caused by third-party platforms outside ISLD’s control
- Communication failures caused by participant spam filters
- ISLD will notify affected users if legally required.
Section 6.8: Enforcement & Violations
Violations include:
- Falsifying identity
- Attempting unauthorized data access
- Misusing participant lists
- Recording or scraping data without consent
